To organize a successful corporate event, the objective must first and foremost be clearly defined, so as to target the right actions, the right people, and the right results.

There are many different types of event, all with different purposes: team building to strengthen bonds between employees, seminars or study days to mobilize teams around an objective, works council events to reward teams… Here are just a few examples.

TRAINING SEMINARS: FOR SHARING IDEAS

They are organized to disseminate important information in an official way, so as to federate teams around a common project and/or new know-how. The aim is also to enhance participants’ skills and create synergies between them, often by inviting them to brainstorm around the same subject.

OUR TIPS FOR ORGANIZING A CORPORATE EVENT

As soon as an event project is decided, the various stages of its organization begin. Here is a brief list of the tasks involved inorganizing a corporate event.

PROJECT MANAGERS AND ORGANIZERS: THE ESSENTIALS

Lille Grand Palais provides its customers with a project team to advise them upstream of the organization of a seminar. After communicating the specifications 6 months before the event, our team optimizes the organization by proposing appropriate services. 2 or 3D plans are drawn up, and a detailed description is drawn up: reception, decoration, catering, etc. A single contact is dedicated to the customer at every stage of the project.

CORPORATE EVENT: CHOOSING A VENUE THAT REFLECTS YOUR IMAGE

The choice of venue depends on the number of participants, its location, and the service provider’s offer: room capacity, possible logistics for entertainment, ambience creation, event personalization, catering…
The date should be set at least 6 months in advance, to give yourself enough time to find the right site and ensure that all participants will be present.
Organizing around holidays, bank holidays or major televised sports competitions should be avoided.

MANAGING TECHNICAL AND HUMAN RESOURCES

Depending on the nature of the corporate event, a date and timeframe need to be defined. The date should be set 5 to 6 months in advance, so that you can start drawing up the specifications.
A well-prepared, step-by-step approach to organizing an event allows you to optimize it, with the help of a well-chosen service provider. They’ll have the time to fine-tune every detail: installation design, audiovisual services, catering services, security…
